Shell scheme space at a three-day trade show typically runs £280 to £600 per square metre, with nine square metres the usual minimum, so a small stand starts in the low thousands. Space only is cheaper per metre, but the build on top usually adds £150 to £600 per square metre depending on the design.
Shell scheme is a built booth: walls, carpet, a fascia panel with your name and usually lighting. Space only is the marked floor and nothing else, which is why it costs less per square metre. Space only starts to make sense above roughly 18 m², or when the stand design is part of the pitch.
Usually electrics, furniture, carpet on space-only stands, rigging, wifi, stand cleaning, lead-capture scanners, storage and insurance. These are listed in the exhibitor manual and commonly add a third to the space cost, so price them before you sign rather than after.
Ask exactly what they count — registrations, unique attendees or visits — and whether they are independently audited. For a trade show the profile matters more than the total, so ask for the breakdown by job title and sector, and for the proportion of attendees who came the previous year.
Event space covers everything an organiser sells inside a venue and around a date: exhibition stands, sponsorship packages, stage backdrops, entrance arches, banners, floor graphics, sampling pitches, branded structures and delegate-bag inserts. You are buying a position in a temporary marketplace, on the days it exists.
It is the only format here where the audience can talk back. That is its value and its cost — the price on a stand is the start of the budget rather than the end of it, and the people standing on the stand are usually the largest line in the plan.
Floor space comes in two forms. A shell scheme is a built booth — walls, carpet, a fascia and a name board — sold by the square metre, with 3 × 3 metres the usual smallest unit. Space only is bare floor: cheaper per square metre, and you pay a contractor to build on it. The rest of the inventory is positional: banners over the aisles, an entrance arch, a stage backdrop, escalator and floor graphics, and the registration area.
Sponsorship is sold as packages rather than by size — headline sponsor, stage or theatre sponsor, lanyard, badge, wifi, the coffee cart, the drinks reception, the delegate bag and its inserts. What you are buying is usually a combination of visibility on the day and presence in the organiser's own marketing beforehand, which is the part people forget to value. Exclusivity is the real price driver: being the only company of your kind in the hall costs more than any number of square metres.
Graphics usually go to the organiser's template about three weeks ahead, and rigging plans and structural approvals for tall stands go in earlier than that. Fire-retardant certificates for fabrics and materials are required at the venue, and a stand without them will not be signed off to open.
They buy different things. A stand buys conversations; a sponsorship buys visibility, including in the organiser's marketing before the event, and often exclusivity in a category. For a small team with a strong proposition, a well-chosen sponsorship plus a small stand usually beats a large stand on its own.
Popular positions at annual trade shows are taken a year ahead, often by that year's exhibitors before the hall empties. Six months is comfortable for a good position. Under three months you take what is left, though organisers do discount unsold space and sponsorships as the date approaches.

Everything is priced around fixed build and breakdown windows, and any work outside them is charged at the venue contractor's rate rather than yours.
Ask what the headline attendance number actually counts. Registrations are people who signed up, attendees are people who came, and visits counts the same person twice if they returned on day two. The gap between the first and the last can be very large, and only some events are independently audited.
For a trade show the profile matters far more than the total. Two thousand attendees with the right job titles beat twenty thousand mixed visitors, so ask for the breakdown by seniority, sector and buying responsibility, and for the proportion who attended last year and came back. Footfall past your particular stand is a separate question again: it depends on the hall plan, and a position near the entrance, the catering or the main stage sees several times the traffic of a far corner.
Artwork for graphics and banners goes to the organiser's template, usually about three weeks ahead. Anything suspended needs a rigging plan and an approved rigger. Anything built above the standard height limit — typically around 2.5 metres, with structural calculations required over about four — needs the organiser's sign-off. Fabrics and build materials need fire-retardant certificates. Venues enforce all of this, and a stand without the paperwork does not open.
Build and breakdown windows are fixed and often overnight, which is why event work runs late so often. A missed artwork deadline means paying the on-site contractor to produce a replacement at their rate, and a stand that is not finished when doors open misses the busiest hour of the show. Plan the delivery of everything physical — literature, samples, the product itself — into the venue's advance warehouse rather than the loading bay on the morning.
The audience came on purpose, with a reason and often a budget. A conversation on a stand does what no impression can: it qualifies a prospect, demonstrates a product in someone's hands, handles an objection and ends with a name. For anything considered, technical or expensive, an event compresses a sales cycle in a way that is genuinely hard to replicate.
The cost per person is the highest of any format on the marketplace, and most of it is not on the invoice — staff time, travel, accommodation, samples and the fortnight of preparation beforehand. The whole investment also rests on one set of dates, so a clash, a transport strike or a quiet hall is unrecoverable. And the effect stops when the hall closes unless the follow-up was planned before you went.
Get the floor plan and your exact position, and ask who is either side of you and what is opposite — a stand facing a wall or backing onto the catering has a different show from one on the main aisle. Get the exhibitor manual and price the extras from it. Get the attendance definition and, if it exists, the audit. And get the exclusivity terms in writing if you are sponsoring anything, including whether a competitor can sponsor a different element of the same event.
Then read the terms most people skip: cancellation and postponement, what happens if the event moves date or venue, and whether the organiser gives you anything outside the days themselves — an email to the delegate list, a profile in the app, a link from the website, the attendee list afterwards. Those are often worth more than a larger stand.
